Terms of Service

Please read these Terms of Service carefully before using TroveDesk. By accessing or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.
1. Acceptance of Terms
These Terms of Service (“Terms”) constitute a legally binding agreement between you (“User”) and TroveDesk (“TroveDesk”, “we”, “us”, or “our”), operating from Accra, Ghana. By creating an account, clicking “Create account”, or otherwise accessing or using TroveDesk (“Service”), you confirm that you have read, understood, and agreed to these Terms and our Privacy Policy.
If you are accepting these Terms on behalf of an organisation, you represent that you have the authority to bind that organisation to these Terms.
2. Description of Service
TroveDesk is an application tracking platform that allows users to organise and monitor job applications, scholarships, grants, fellowships, and other opportunities in one place. Features include:
- Creating and managing application records
- Deadline and follow-up email reminders
- Contact and document checklist management
- Optional URL extraction powered by AI (when enabled by your administrator)
- A cosmetic referral link feature (referral tracking is not currently implemented)
We reserve the right to modify, suspend, or discontinue any aspect of the Service at any time.
3. Account Terms
- You must be at least 16 years old to use the Service. By registering, you represent that you meet this requirement.
- You agree to provide accurate, current, and complete information during registration and to keep your account information up-to-date.
- You are responsible for maintaining the confidentiality of your credentials and for all activity that occurs under your account.
- You must not share your account credentials with any other person.
- You must notify us immediately at trovedesk@gmail.com if you suspect unauthorised access to your account.
- One person or legal entity may not maintain more than one free account.
4. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable law or regulation.
- Attempt to reverse engineer, decompile, disassemble, or derive source code from the Service.
- Scrape, crawl, or use automated means to access the Service without our prior written consent.
- Abuse rate limits or attempt to circumvent technical access controls.
- Use the URL extraction feature to submit links to malicious, illegal, or harmful content.
- Transmit any viruses, malware, or other harmful code through the Service.
- Impersonate any person or entity, or misrepresent your affiliation with any person or entity.
- Interfere with or disrupt the integrity or performance of the Service or its underlying infrastructure.
We reserve the right to suspend or terminate accounts that violate these provisions.
5. Intellectual Property
The Service, including its software, design, code, text, graphics, logos, and other materials, is owned by or licensed to TroveDesk and is protected by applicable intellectual property laws.
You retain ownership of all data you enter into the Service (“Your Data”), including application records, contact information, and notes. You grant TroveDesk a limited, non-exclusive, royalty-free licence to store, process, and display Your Data solely to provide and improve the Service.
You may not use the TroveDesk name, logo, or branding without prior written permission.
6. Privacy
Your use of the Service is subject to our Privacy Policy, which is incorporated into these Terms by reference. By using the Service, you consent to the collection and use of your information as described in the Privacy Policy.
7. Third-Party Services
The Service integrates with third-party services including Supabase (authentication and database), Vercel (hosting), Resend (email), Google (OAuth sign-in), and others. Your use of these services is subject to their respective terms and privacy policies. We are not responsible for the acts or omissions of any third-party service provider.
Links to third-party websites within the Service are provided for convenience only. We do not endorse and are not responsible for the content of any linked website.
8. Service Availability and Disclaimer of Warranties
THE SERVICE IS PROVIDED ON AN “AS IS” AND “AS AVAILABLE” BASIS WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, OR UNINTERRUPTED OR ERROR-FREE OPERATION.
We do not guarantee that the Service will be available at any particular time, that data will never be lost, or that results obtained through the Service will be accurate or reliable. You use the Service at your own risk.
The optional AI-powered URL extraction feature is provided for informational purposes only. Extracted data may be incomplete or inaccurate. You are solely responsible for verifying any extracted information before relying on it.
9. Limitation of Liability
TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL TROVEDESK BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, USE, GOODWILL, OR OTHER INTANGIBLE LOSSES, ARISING OUT OF OR IN CONNECTION WITH YOUR ACCESS TO OR USE OF (OR INABILITY TO ACCESS OR USE) THE SERVICE, WHETHER BASED ON CONTRACT, TORT, STATUTE, OR ANY OTHER LEGAL THEORY, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
OUR TOTAL CUMULATIVE LIABILITY TO YOU FOR ALL CLAIMS ARISING FROM OR RELATED TO THE SERVICE SHALL NOT EXCEED THE GREATER OF (A) THE AMOUNTS YOU PAID TO US IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM OR (B) ONE HUNDRED US DOLLARS (USD $100).
Some jurisdictions do not allow the exclusion of certain warranties or limitation of liability. In such jurisdictions, our liability is limited to the maximum extent permitted by law.
10. Indemnification
You agree to defend, indemnify, and hold harmless TroveDesk and its officers, employees, agents, and licensors from and against any claims, liabilities, damages, losses, costs, and expenses (including reasonable legal fees) arising out of or related to: (a) your use of or access to the Service; (b) your violation of these Terms; (c) your violation of any third-party right, including any intellectual property, privacy, or other right; or (d) any content you submit to the Service.
11. Term and Termination
These Terms are effective from the date you first access or use the Service and continue until terminated.
You may terminate your account at any time by going to Settings → Account and selecting “Delete account”. Upon deletion, your data will be permanently removed and cannot be recovered.
We may suspend or terminate your account immediately, without prior notice, if you breach these Terms or if we reasonably believe your use of the Service poses a risk to TroveDesk or other users. Upon termination, your right to use the Service ceases immediately.
Sections 5, 8, 9, 10, 13, and 14 of these Terms survive any termination.
12. Modifications to the Service and Terms
We reserve the right to modify these Terms at any time. If we make material changes, we will notify you by email or by displaying a prominent notice within the Service at least 30 days before the changes take effect. Your continued use of the Service after the effective date constitutes acceptance of the revised Terms.
We may also modify or discontinue features of the Service without notice. We will not be liable to you or any third party for any modification, suspension, or discontinuation of the Service.
13. Governing Law and Dispute Resolution
These Terms are governed by and construed in accordance with the laws of the Republic of Ghana, without regard to its conflict of law provisions.
Any dispute arising out of or in connection with these Terms or the Service shall first be subject to good-faith negotiation between the parties. If not resolved within 30 days, disputes shall be submitted to the exclusive jurisdiction of the courts of Accra, Ghana.
If you are a consumer resident in the European Union, you may also have the right to use the EU Online Dispute Resolution platform or refer the matter to your local consumer protection authority.
14. General Provisions
- Entire Agreement. These Terms, together with the Privacy Policy, constitute the entire agreement between you and TroveDesk with respect to the Service and supersede all prior agreements.
- Severability. If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions will remain in full force and effect.
- Waiver. Our failure to enforce any right or provision of these Terms will not be deemed a waiver of such right or provision.
- Force Majeure. We shall not be liable for any delay or failure to perform resulting from circumstances beyond our reasonable control, including but not limited to natural disasters, war, acts of government, or Internet service interruptions.
- Assignment. You may not assign or transfer these Terms or your rights under them without our prior written consent. We may assign our rights and obligations under these Terms at any time.
